Terms and Conditions

These terms and conditions (Terms) apply to all registrations to attend the Continuing Educational Course / Conference / Exhibition. The Terms apply between the person, firm, company, or other entity specified on the registration form for the GEOINDIA 2024 (each a delegate/speaker/sponsor/exhibitor).

Please read these Terms carefully as they contain important information.

DELEGATES

The delegate’s registration is an offer to attend GEOINDIA 2024, which is subject to acceptance in writing (which may include, without limitation, email). A binding contract (Agreement) between the delegate and APG (organizer) will only be formed when written Confirmation of Acceptance is sent by Organizer using the contact details provided at the time of registration.

Delegate should contact Organizer if it has not received Confirmation within 7 days of its registration, but in any event if Confirmation is not received by delegate within 14 days of Organizer receiving delegate’s registration, the registration will be deemed to be accepted unless Organizer notifies delegate otherwise. Organizer reserves the right in its sole discretion to refuse to accept delegate’s registration.

PAYMENTS

All bookings made prior to the conference must be paid in full to guarantee registration. Once payment has been received, an email confirmation and a receipted invoice will be sent. If payment is not made at the time of booking, registration will be provisional. If payment of delegate’s fees in full is not received before the Event, Organizer may (at its sole discretion) either require such payment as a condition of delegate’s entry to the Event or refuse delegate’s entry to the Event.

DELEGATE FEES

Prices for each Event are correct at the time of publication. The Organizer reserves the right to change the prices at any time, but changes will not affect registrations which have already been Confirmed by Organizer.

EARLY BIRD RATE / Discounts

To qualify for any ‘early bird’ rates, booking and payment must be received before the deadline date listed in the conference marketing material. All discounts can only be applied at the time of registration and discounts cannot be combined. All discounts are subject to Organizer’s written approval. Discounts for group registrations are only valid for a minimum of 5 attendees specified on delegate’s booking form. Group discounts cannot be combined in conjunction with any other offers or discount codes.

SUBSTITUTIONS & CANCELLATIONS

Delegate may cancel registration, by submitting request in writing. Requests received up to 30 days before the first day of event (17 November 2024) will attract 20% fees as processing and cancellation fees. Requests within 30 days and 15 days of the first day of the event will attract 50% as processing and cancellation fees. APG regrets that cancellation cannot be accepted within last 15 days before GEOINDIA.

Substitution of individual delegate is not permitted, while those in group can send us request.

BADGES

On day one of the conference there will be online registration and you shall be provided with badges with a lanyard. For security reason, name badges must be always worn during the Conference and Social gathering / networking. Proof of identity is required for you to get the conference kit; our security staff are authorized to challenge delegates not wearing valid badges and debar from entering the conference and exhibition areas.

The personal information that delegates provides to Organizer will be held on a database. Where Organizer has appropriate authorization/justification (which may include, without limitation, express/implied consent or legitimate interests), it may be shared with other entities within Informa Connect and selected third parties internationally for promotional and other purposes. Delegate’s personal information may also be shared with government entities and regulatory authorities as required by law.

PHOTOGRAPHY & FILMING

For promotional purposes, there will be a professional photographer and video production taking place during the conference. Delegates who do not wish to be filmed or recorded should advise the organizers prior to the event.

DATA PROTECTION

By submitting registration details, delegates agree to allow APG to contact them regarding their services. Delegate names and company names will be compiled onto delegate lists for each conference so that all attendees can see who is at the conference for the purpose of networking and meetings. The contact details of registered delegates will not be shared with other contacts outside, except to governing body as per rule.

WEBSITES & LINKS

The GEOINDIA 2024 website may link to other websites and networking tools provided for the convenience of the users. We take utmost care for such link, but we refrain for any responsibility be taken for contents of any website linking to this website.

SPEAKERS

Views expressed by speakers are their own. GEOINDIA 2024 cannot accept liability for advice given, or views expressed, by any speaker at the conference or in any material provided to delegates APG may use the speaker’s name and presentation materials for promoting delegate attendance at the conference. Presentations and papers including all associated artwork and illustrations will not be returned unless specifically requested by the author. The papers must be objective and completely free of advertising and commercialism.
APG on behalf of GEOINDIA 2024 may audio and/or video tape the speaker’s session and the recording may be reproduced and sold as part of the overall conference materials. This allows delegates to purchase audio/video copies of presentations that they may have been unable to attend.
APG on behalf of GEOINDIA 2024 may reproduce copies of the speaker’s presentation on paper and/or electronically and these may be sold as part of the overall hand-out materials during the conference and after the event. Any acknowledgement regarding Copyright or support should be included at the end of the abstract/presentation, as these will be distributed to the conference delegates.
 

SPONSORS / EXHIBITORS

INTRODUCTION

GEOINDIA 2024 is organized and managed by Association of Petroleum Geologist – INDIA, registered under Societies Registration Act No 21 of 1860 as not-for-profit organization. These Terms and Conditions and the Sponsorship Form (together the “Agreement”) set out the terms on which you (i.e. the Sponsor) agree to sponsor and support GEOINDIA 2024.

You understand that by signing the Sponsorship Form, you agree to be bound by the terms of the Agreement.

GRANT OF RIGHTS

We grant to you the Sponsor Benefits as defined on the Sponsorship Form, As part of promotion of your efforts You grant to us non-exclusive, royalty-free, sub-licensable license to use your logos and trade marks (the “Sponsor Marks”) provided to us in our branding and advertisement.
You acknowledge and agree that you shall be solely responsible for all costs that you incur relating to your attendance at the Event (including, without limitation, any travel costs, the costs of any temporary staff and any costs relating to the stand that you erect at the Event and all costs incurred by you in exercising the Sponsor Benefits).
You shall promptly comply with all reasonable instructions and directions issued by or on behalf of us in connection with the Event and its promotion (including, without limitation, any instructions or directions given in relation to the use of the venue at which the Event is being held).

We shall not be responsible for any failure or delay in providing any of the Sponsor Benefits where such failure occurs directly or indirectly as a result of your failure or delay in complying with any of our reasonable instructions or directions.

YOUR OBLIGATIONS

You undertake to ensure your personnel exercise the Sponsor Benefits in accordance with the terms of this Agreement.
You shall, within seven days of signature of this Agreement by both parties, supply us with examples of the Sponsor Marks in a suitable format.
You shall not engage, or omit to do, anything which may: damage our goodwill associated with the GEOINDIA 2024 or be otherwise prejudicial to the image and/or reputation of the Event or us.
You shall comply with all relevant laws and regulations which may apply in relation to your involvement in the GEOINDIA 2024 and you will indemnify and keep indemnified and defend (at your own expense) us against all costs, claims, damages or expenses suffered or incurred by us or for which we may become liable due to any failure by you or your employees or agents to comply with any of your obligations under this Agreement or any applicable laws and regulations.

OUR OBLIGATIONS

We shall provide the Sponsor Benefits and organize the GEOINDIA through third party vendor of repute using reasonable skill and care and you will consult with the Sponsor Representative where we deem it appropriate to do so.

The Sponsor Benefits are personal to you, and we are not obliged to provide the Sponsor Benefits (or any part of them) to any other entity or person.

SPONSORSHIP FEE

In consideration of us providing the Sponsor Benefits, you shall pay to us the Sponsorship Fee in accordance with the Payment Schedule, and to the account specified on the Sponsorship Form. The Sponsorship Fee is exclusive of any applicable sales tax (including but not limited to, GST) which shall be paid by you at the rate from time to time in force.

CANCELLATION, POSTPONEMENT & FORCE MAJEURE

Association of Petroleum Geologist – INDIA, shall not be deemed to be in breach of this Agreement or otherwise liable to you for any failure or delay in performing our obligations under this Agreement in its sole discretion, be entitled to cancel or postpone the Event outside the reasonable control (including, without limitation, acts of God, floods, lightning, storm, fire, explosion, war, military operations, acts or threats of terrorism, strike action, lock-outs or other industrial action or a pandemic, epidemic or other widespread illness).

APG shall give written notice to the Sponsor of its decision as soon as reasonably practicable, and upon receipt of such notice: obtain a refund of such proportion of Sponsorship Fees that will reasonably be calculated.


LIMITATION OF LIABILITY

Nothing in this Agreement shall limit or exclude a party’s liability to you, whether such liability arises in contract, tort (including negligence) or otherwise, for any damages, loss, costs, claims or expenses of any kind howsoever arising, out of or in connection with this Agreement or otherwise in connection with the Event, shall be limited to the Sponsorship Fee paid by you.
APG shall not be liable to you for: (i) any loss of profit, loss of or damage to data, loss of anticipated savings or interest, loss of or damage to reputation or goodwill; or (ii) any indirect, special or consequential damages, loss, costs, claims or expenses of any kind.(iii)death or personal injury caused by its negligence, or the negligence of its employees, agents or subcontractors;

The Organizer reserves the right to amend these terms and conditions from time to time. However, the delegate will be subject to the terms and conditions in force at the time it submits its registration.
